When is changing schools the right call?

When the problem is the pairing, not a passing phase, and the school cannot or will not adjust.

The order of operations matters. And one honest caution in the other direction: changing schools to escape a problem that lives elsewhere, at home, in a friendship, in an undiagnosed learning need, moves the child without moving the problem. The switch is the right call when the evidence is school-shaped: signals that track term time, cluster on school days, and ease in holidays.

What does the process actually involve?

Five steps, and the sequence protects you.

Secure the new place first. Apply, assess and receive an offer before giving notice at the current school. Mid-year applications are routine in Dubai, and places open through the year as families relocate out.

Give written notice per your contract. Your Parent-School Contract, the KHDA-regulated agreement every family signs, sets the notice requirements and the financial terms of withdrawal. Read it before you act, not after.

Request the transfer certificate. The current school issues the TC through the KHDA system. For moves within Dubai this is an internal, administrative process: no attestation, no embassies, unlike the international version. From Grade 1 upward, the TC is the primary reference for the receiving school's placement decision, so the grade it states is the grade that carries.

Transfer the records. School reports, assessment data and, where relevant, support documentation. For a student of determination, a placement change request must include full documentation, therapy reports, assessments and school support records, which KHDA reviews to keep decisions consistent and fair across schools.

Confirm the start date and settle the money on both sides. The deposit at the new school, the final invoice at the old one, and the refund rules below.

What does a mid-year change cost?

Three buckets, and the timing of your exit decides the largest one.

At the old school: standard Parent-School Contract terms tie the deduction to attendance. Withdraw before the academic year starts and pre-paid tuition is generally refundable; once the year begins, schools typically deduct one month's fees if the child attended two weeks or less, and two months' fees for attendance between two weeks and one month. Past that point, you are usually paying for the term you are in. Your own contract's refund section is the authority; check it before setting dates.

At the new school: the normal admission stack: application and assessment fee (roughly AED 500-1,500), and a seat deposit on acceptance, commonly around 10% of annual tuition or a fixed AED 5,000-10,000, non-refundable but deductible from fees.

Around the move: new uniforms, potentially a new bus route, and the soft cost that outweighs the rest: your child's settling energy. Which is the argument for making the second choice stick.

When in the year should you switch?

Term boundaries beat mid-term, and the natural break points are the returns from the December and spring holidays: a clean start for the child, a clean financial cut per the contract terms, and a settled class for the teacher to introduce them into.

Two timing cautions. Exam years are the exception to everything: from Year 10/Grade 9 upward, syllabus alignment between schools, even within the same curriculum, makes mid-cycle moves academically expensive, and schools themselves prefer joiners at the start of a programme.
